Booking Terms & Conditions

Doron Yoga & Zen Center Terms & Conditions

These Terms and Conditions shall constitute the entire agreement between Doron Yoga & Zen Center (DYZC) and the Client relating to booking a Retreat or Training, and shall constitute a binding agreement. There is no verbal or written; representation, warranty, prior agreement, or description of services, other than as expressed herein.

By booking a Retreat or Training, Client agrees to be bound by these Terms and Conditions that govern the relationship, the cancellation policy, and limitations of liability. These Terms and Conditions affect Client rights and designate the governing law and forum for the resolution of any and all disputes.

 

BOOKING TRIPS & THE CONTRACT

All persons wishing to make a booking have carefully read and understand the Terms and Conditions that follow. By making a booking with DYZC, Client accepts on behalf of Client and all those named on the booking, to be bound by these Terms and Conditions. A booking is accepted and becomes definite only from the date when DYZC sends a confirmation email to the Client, and when the Client has completed the deposit payment.

A DYZC team member will contact the Client, regarding Client’s completed registration and to confirm Client’s participation in Client’s selected Retreat or Training. Confirmation of Client participation does not necessarily mean that Client Retreat or Training  trip is confirmed to run. DYZC asks that Client to book a flexible travel or refrain from purchasing non-refundable travel until receipt of an email confirmation from the DYZC staff. A Retreat or Training will not take place unless there is a minimum of six (6) participants.

 

DEPOSITS

 For all advertised Retreats and Trainings, a non-refundable deposit per person plus submission of the DYZC online booking form is required to complete Client booking.

Client may book a program with a deposit (down payment) until 45 daysprior to the retreat start date, after which full payment is required to secure the spot (if any are still available).

The remaining balance of Client’s retreat payment is due 45 daysprior to the retreat start date. DYZC will notify Client of the balance due date after Client deposit has been processed.

If the final balance is not received by the due date, then Client booking cannot be guaranteed and DYZC reserves the right to cancel Client booking and Client forfeits any deposit paid.

*Please note deposits made on all bookings are non-refundable and non-creditable due to the requirement to purchase non-refundable and non-transferable essentials including, but not limited to, accommodation staffing, food, space maintenance, on Client’s behalf to secure Client’s spot on the retreat.

Deposit payments can be transferred to another retreat taking place within one calendar year, within the sole discretion of DYZC, if Client notifies DYZC 60 daysor more before the Retreat or Training start date.

 

REFUND / CANCELLATION

DYZC understands that unexpected events can arise that can affect Client plans.

If Client cancels more than 45 days before the Retreat or Training start date, Client may request a partial refund(less a cancellation fee equal to the deposit and processing fee) . Grant of a partial refund is within the sole discretion of DYZC,

All Retreat, Personal Stay and Training payments (including SUP activities , Spanish Classes etc)  become non-refundable 45 days before the Retreat or Training start date.

BALANCE TRANSFER

Full and partial Retreat or Training payments can be transferred to another Retreat or Training taking place within one calendar year if Client notifies DYZC 60 daysor more before the Retreat or Training start date. Balance transfers are approved in the sole discretion of DYZC.

There is a $180 deposit transfer fee associated with making a balance transfer

Client may also transfer the balance to another person 60 days or more in advance of the Retreat or Training start date but approval of the balance transfer is within the sole discretion of DYZC.

Client may only transfer a Retreat or Training deposit one time.

 

PRICING

All Retreat and Training prices shown are per person and are quoted and payable in USD.

DYZC is not responsible for any fees incurred due to currency exchange or fees charged by Client’s credit card/bank for processing funds in another currency.

DYZC reserves the right to alter the prices of any of the travel arrangements shown on the DYZC website (additional fee shuttle arrangements).  Client will be advised of the current price of the travel arrangement Client wishes to book before contract is confirmed.

7.5% Service Fee will be added to Client’s final total bill when participating in Doron Yoga Retreat.
60 USD will be added to final bill when participating in Doron Yoga Teacher Training.
This goes to our Kitchen and Cleaning local Maya Women Staff.

Not included in the price of DYZC program are: flights, transport, travel insurance, excess baggage charges, any food or drink, spa treatments, professional consultations, or additional excursions or activities which are not confirmed as being part of Client Retreat or Training arrangements.

 

MEDICAL CONDITIONS & SPECIAL REQUIREMENTS

 

The Client must inform DYZC on the registration form of any pregnancy, disability, or any other mental and or physical condition which may affect fitness to participate in the DYZC program, including medications Client is currently taking. Failure to notify DYZC may result in the Client being refused certain activities during the retreat or training at the Client’s own expense. Some activities may be unsuitable for Clients due to age, mobility, disability, pregnancy, or physical or mental conditions. Client should email DYZC if Client has any concerns.

It is absolutely vital that Client is honest and accurate reporting fitness level and medical conditions for Client safety.

DYZC will do its best to meet special requests including dietary or physical limitations but such requests may not always be possible depending on the program. DYZC reserves the right to refuse Client with certain conditions.

Clients MUST carry personal medical insurance. DYZC does not provide medical insurance of any kind.

 

FINAL PAYMENTS

For all Retreats and Trainings, the payment of the FINAL balance of the Retreat or Training price is due 45 days prior to the Retreat or Training start date in the currency advertised. If a booking is made within less than 45 days, Client deposit including full payment will be required at initial sign up.

If the final balance is not received by the due date, DYZC reserves the right to treat the Client’s booking as cancelled.

Please ensure DYZC is on your email contact list so DYZC emails don’t go to your junk folder!

 

CANCELLATION OF A RETREAT/TRAINING BY THE CLIENT

Any cancellation by a Client must be made in writing (via email) and be acknowledged by DYZC in writing (via email).

Under no circumstances is Client deposit refundable. Deposits are required to secure bookings.

If Client cancels and Client has made payments in addition to the deposit, the full balance can be rolled over to another date of Retreat or Training within one calendar year, at the sole discretion of DYZC.

In the case of a natural disaster, governmental action, or other circumstance outside of the control of the Client or DYZC, no fees paid by credit card will be reversed but may be applied to a future Retreat or Training.

 

CANCELLATION OF A RETREAT OR TRAINING BY DYZC 

DYZC reserves the right to cancel any Retreat or Training for any reason but will not cancel a Retreat or Training less than 30 days before the Retreat or Training start date except for circumstances outside DYZC’s control such as governmental action, force majeure, epidemics, natural disasters or destruction of DYZC facility. When a Retreat or Training is cancelled by DYZC earlier than 30 days before the Programs start date for any reason other than the fault of the Client, the Client can either:

  1. Transfer the deposit to another Retreat or Training taking place within one calendar year, or:
  2. Receive a full refund of all monies paid under the contract (minus card processing fees). 

That also applies to cancellation of the Program due to not reaching the minimum number of participants.

 

DYZC is not responsible for any incidental expenses or consequential losses that the Client may have incurred as a result of the booking such as visas, vaccinations, non-refundable transportation costs, non-refundable car parking or other fees, loss of earnings, or loss of enjoyment. If the Client is offered a refund but requests an alternate Retreat or Training of a higher value than that originally booked, then the Client must pay the difference in price.

TRAVEL & HEALTH INSURANCE

DYZC very strongly recommends Clients obtain travel insurance and travel medical insurance. This insurance must cover personal injury and emergency medical expenses including, but not limited to, helicopter evacuation, air ambulance and repatriation.

It is strongly recommended the coverage be extended to include cancellation, curtailment, and all other expenses that might arise as a result of loss, damage, injury, delay or inconvenience, natural disaster, or governmental action occurring to the Client during travel.

 

TRAVEL DOCUMENTS

Valid Passport: The Client must be in possession of a valid passport required for entry, departure and travel to Guatemala (passport must be valid 6 months past the return date), all visas, permits and certificates including vaccination certificates (if required), and insurance policies, that are required for the whole of the journey. The Client accepts full responsibility for obtaining all such documents, visas and permits prior to the start of the retreat or training and is solely responsible for any adverse consequences resulting from missing or defective documentation. Any information or advice given by DYZC regarding visas, vaccinations, climate, clothing, baggage, or special equipment is purely advisory, provided as a courtesy to the Client. DYZC is not responsible for any errors or omissions as to the information provided by third parties such as the appropriate governmental authorities.

 

SUPPLIERS & INDEPENDENT CONTRACTORS

Shuttle services, tours, language classes, excursions or others are arranged by DYZC with local suppliers who may themselves engage the services of local operators and/or sub-contractors. DYZC will at all times endeavor to retain reputable and competent local suppliers. The terms and conditions of the suppliers will be applicable. These may limit or exclude the liability of the supplier. DYZC does not assume any liability of any supplier. Neither DYZC nor any carrier is liable for independent contractors.

 

SAFETY & TRIP ENJOYMENT

DYZC takes Client safety and well-being very seriously, which is why DYCZ partners with trained professionals for all retreats and trainings. However, Client is ultimately responsible for Client’s safety, which is why DYZC asks all Retreat or Training participants to sign a liability waiver before departure. To avoid possibly dangerous situations, it is extremely important that Client obeys any rules and regulations imposed by the DYZC Staff and/or Local Guides and instructions given by them.

 

DYZC reserves the right to prohibit any Client from continuing the program with no right of refund if, in the sole opinion of DYZC, that Client’s actions pose a threat to the safety of them, others, or to the wildlife, or if that Client’s actions or behaviors are jeopardizing the enjoyment of the program for others.

 

HEALTH & FITNESS

DYZC Retreats and Trainings should not be overly strenuous, demanding for people who are healthy and reasonably fit. If Client (or anyone on whose behalf Client is booking) are affected by any condition, medical or otherwise, that might affect Client enjoyment of the program, Client must advise DYZC of this at the time of booking. If Client health or fitness changes between the time of booking and trip departure date, Client must notify DYZC of these changes before the program starts.

 

PHOTOS, VIDEO AND CONTENT CREATION

In the course of participation in DYZC Retreat or Training, photos or video may be taken by participants, guides and professional photographers. These images may be used in any DYZC promotional materials, website, all social media platforms (e.g., Instagram), unless Client specifically requests to the photographer or in writing to DYZC, to not use any material in which Client image is depicted. Otherwise, permission is granted to DYZC to perpetual, royalty-free, worldwide, irrevocable license to use such images for publicity and promotional purposes.

 

RETREAT ITINERARY CHANGES

DYZC reserves the right to alter Retreat or Training programs and itineraries due to weather, or other circumstances beyond the control of DYZC. These programs may be changed or cancelled at any moment to assure the safety of DYZC clients and staff. No responsibility is accepted for losses, expenses due to delays, changes of flights or other services because of strikes, accidents, sickness, damage, epidemics, negligence, weather, war, changes in schedules, governmental action or other similar causes.

DYZC and its partners do not assume responsibility for accidents or deaths that can be traced to the participants’ negligence, acts of third parties or exterior circumstances such as weather, natural occurrences, warfare, governmental action, or other similar causes.

 

DATA PROTECTION

To ensure that Retreats and Trainings run smoothly, DYZC needs to use personal information (such as name, address, special needs, health conditions, dietary requirements) provided by Clients to DYZC, and also pass on such information to other outfitters/guides or suppliers involved in the operation of the program. DYZC will apply appropriate security measures to protect such personal data and will only pass on data that is applicable to outfitters or suppliers responsible for the program. By completing the DYZC Retreat or Training Booking Form, Clients consent to this information being transferred as required.

 

LIABILITY

DYZC is not responsible for any improper or non-performance of any services forming part of the Contract which are wholly attributable to the fault of the Client, the unforeseeable or unavoidable act or omission of a third party unconnected with the provision of any services to be provided by DYZC under the Contract; unusual and unforeseeable circumstances beyond the control of DYZC and/or the relevant supplier, the consequences of which could not have been avoided even if all due care had been exercised including (but not limited to) an event of force majeure including governmental action, pandemic, extreme weather, or any event which DYZC and/or the relevant supplier could not even with all due care have foreseen or forestalled.

 

SUCCESSORS & ASSIGNS

These Terms and Conditions shall inure to the benefit of and be binding upon DYZC and the Client and their respective heirs, legal personal representatives, successors and assigns.

WAIVER OF BOOKING CONDITIONS

These Booking Terms and Conditions may only be waived or amended by written mutual consent. When a Client completes, submits, and makes the payment for booking their place for a retreat, the Client agrees to accept all these conditions, and when the booking is accepted, DYZC agrees to carry out the obligations as defined therein.

 

UPDATING OF TERMS & CONDITIONS 

DYZC reserves the right to update and/or alter these terms and conditions at any time, and it is the Client’s responsibility to be familiar with them. The latest terms and conditions may be found on the DYZC website.
